Product Operations Associate

What we are looking for:
The Product Operations Associate ensures the smooth operation of ORCA’s product business. They maintain our studio’s inventory, product samples, run sales reports, and manage samples.

What this role entails:

  • Operational Product Management:
    • Work with the Head of Product to execute product development roadmap, timelines, managing prototyping, vendor feedback, quality control, and material research.
  • Operational Assistance:
    • Monitor the hello@orcaliving email inbox, forwarding communications to the appropriate internal teams and ensuring responses are timely and accurate.
    • Help track and update the internal product matrix, ensuring that all inventory data is current, and specifications are accurate.
    • Support the Head of Product by tracking sales performance, inventory movement, and key customer interactions, and generating reports for internal review.
  • Inventory and Sample Management:
    • Maintain an organized sample and product inventory.
    • Manage sample requests from customers, tracking requests and deliveries to ensure timely fulfillment.
    • Manage purchase orders and logistics (tracking, quotes, etc) of daily product operations. 
    • Ensure that all inventory and sample data is up-to-date in the internal product matrix and Shopify.
  • Sales and Reporting:
    • Generate and run sales reports to track product performance, sales trends, and inventory levels.
    • Provide exceptional customer service by offering timely responses to inquiries, managing customer expectations, and dispatching communication to appropriate internal teams.
    • Track and send weekly status updates for active product development and procurement, ensuring all communication (via email, calls, Slack) is clear and organized.
  • Freight Coordination:
    • Provide freight quotes to clients based on their location, order size, and shipping preferences, ensuring competitive rates.
    • Coordinate with freight and logistics partners to manage shipping details and ensure accurate delivery estimates.
    • Assist in organizing expedited shipping for urgent orders, ensuring a balance between client needs and cost-effectiveness.
    • Communicate any delays, changes in shipping routes, or issues with freight to clients, ensuring they are well-informed throughout the process.
  • Operations and Procurement:
    • Oversee the product procurement process from purchase order (PO) to delivery, ensuring that all steps are completed efficiently.
    • Manage studio and fulfillment assistance, coordinating with internal teams to address any supply needs or staffing assistance.
    • Co-manage the studio fulfillment assistant to ensure all procurement processes and sample requests are completed in alignment with business goals.
    • Assist in onboarding new team members 
  • Internal Systems and Coordination:
    • Assist with financial administration tasks such as invoice payments and other studio-related operational costs.

Key Qualifications:

  • Strong organizational skills, with a focus on maintaining accurate inventory and sample records.
  • Detail and timeline oriented, with the ability to manage multiple projects and tasks simultaneously.
  • Capable of generating and analyzing sales reports.
  • Proficient in project management tools (e.g., Asana), inventory systems, and data management (Google Sheets, Microsoft Office).
  • QuickBooks and Shopify knowledge preferable.
  • Knowledge of production and landscaping operations preferable.
  • Excellent communication and customer management skills, with the ability to offer proactive service and problem-solving.
  • Comfortable working in a small-team, start-up environment, and able to think creatively and critically.

Location: 

  • Based in Los Angeles
  • Studio in Highland Park 
  • Onsite/field time and some travel required
